Manage people and permissions

A guide for Admins and Insights Managers to invite, manage, and remove people and permissions in the workspace

Step One: Go to the People page

Once you sign in, click on your workspace name in the left navigation panel (on desktop) or press the menu button in the top left and press on your workspace name from the panel (on mobile devices).

Next, select People from the menu and you'll be taken to the People page.

 

Step Two: Invite your team

From this page, click on Invite new members to workspace. This will open up the form where you can select a role for the person you'd like to invite, type their email address, and invite the person to the workspace.

You can assign your team to one of the roles below:

  • Admin

  • Insights Manager

  • Field Reporter


💡 Note that an Insights Manager can only add new Field Reporters. Meanwhile, an Admin can add new Insights Managers and other Admins. Check Folktale roles and permission to learn more.

 

After you send the invitation, you will see the person's name listed under the Pending section. This means that the person has not yet accepted the invitation to join your workspace.

Once they have accepted the invitation and become a member of your workspace, their name will appear in the Current members section.

Alternatively, you can also create a workspace-managed account (WMA) for your team members.

WMA is an account created within a workspace by an Insights Manager or an Admin. This account is useful for Field Reporters who don't have easy access to email to be able to create their own account but don't want to contribute as a guest.

Step Three: Manage your members

Whilst your team members are listed under the Pending section, you can click on the menu button and have options to resend or withdraw your invitation.

In addition, you have the flexibility to change their roles regardless of whether they are in the Pending section or Current members section. You can click on the role to edit.

 

 

⚠️ New team members can no longer be assigned the Contributor role on the People page. However, you can still find existing members with the Contributor role on the page. Note that once you change a Contributor to a different role, you cannot change it back to Contributor.

Step Four: Remove your current members

To remove a current member, click on the menu button and click Remove member.

Once you've done managing your members, you can create and assign them to teams. This allows you to manage invitations for larger groups effectively.

Congratulations! You have successfully invited all your team members. While you wait for them to join your workspace, you can create a Story Invitation or Story Preset to collect their stories.
