Create a Story Invitation
A Story Invitation allows you to request and collect video stories from Contributors. This guide will walk you through creating and sending a Story Invitation, setting deadlines, managing permissions, and sharing the invitation via email or a Community Link.

This guide is for Insights Leads or Admins creating Story Invitations to collect video stories from Contributors.
π What permissions are needed?
- You must be signed in to Folktale.
- You must have Admin or Insights Lead permissions in the workspace to create and manage Story Invitations.
Overview
A Story Invitation defines the theme, purpose, and submission deadline for a requested story. Contributors can receive invitations via email or access them through a Community Link.
Step One: Select a Project
- Sign in to Folktale and navigate to your workspace.
- On desktop, click on your workspace name in the left navigation panel.
- On mobile, tap the menu icon in the top left, then select your workspace name.
- Select the project where you want to create the Story Invitation.
- Click Story Invitations, then select Create a Story Invitation.
Step Two: Define the Story Type
- Add a title β Choose a clear, descriptive title to help Contributors understand the story request.
- Select a template β Choose from available templates or customize one.
- Enable media imports (optional) β Allow Contributors to upload videos from their camera roll.
- Add branding (optional) β If branding has been uploaded, apply it to the invitation.
π Tip: Customized templates can be saved for future use.
Step Three: Add Contributors
- Use the search box to add past Contributors.
- Invite new Contributors by entering their email addresses.
- Enable Community Link (optional) β Generate a link to share with a broader audience.
- Set contributor access levels β Choose between View and download, View only, or None.
- Record a personalized video or message β Provide additional guidance and encouragement.
Step Four: Set the Deadline
- Send invitation immediately or schedule it for later.
- Set a due date β Notify Contributors when the story is due.
- Set an expiry date β Close the invitation after the deadline.
π Note: Once an invitation expires, Contributors can no longer submit stories.
Step Five: Manage Consent and Visibility
- Define story usage β Select Primary Usage to clarify how stories will be used.
- Identify the Intended Audience β Specify if stories will be shared internally or externally.
- State the Purpose of Collection β Inform Contributors why their stories are being gathered.
- Add Story Tags β Organize submissions with relevant tags.
- Enable or disable contributor story sharing β Choose whether Contributors can see each otherβs stories.
π Tip: Clearly communicating usage and audience increases contributor confidence.
Step Six: Preview and Send the Story Invitation
- Preview the invitation β Ensure clarity before sending.
- Click Invite Contributions to send the invitation.
π Congratulations! Your Story Invitation has been sent. Contributors will receive an email with the details.
Step Seven: Copy and Share the Community Link
- Click View Invite Overview after sending the invitation.
- Copy the Community Link to share it with others.
- Find the Community Link later under Story Invitations in the workspace.
