Create a Story Invitation

A Story Invitation allows you to request and collect video stories from Contributors. This guide will walk you through creating and sending a Story Invitation, setting deadlines, managing permissions, and sharing the invitation via email or a Community Link.

This guide is for Insights Leads or Admins creating Story Invitations to collect video stories from Contributors.

  • You must be signed in to Folktale.
  • You must have Admin or Insights Lead permissions in the workspace to create and manage Story Invitations.

Overview

A Story Invitation defines the theme, purpose, and submission deadline for a requested story. Contributors can receive invitations via email or access them through a Community Link.


Step One: Select a Project

  1. Sign in to Folktale and navigate to your workspace.
    • On desktop, click on your workspace name in the left navigation panel.
    • On mobile, tap the menu icon in the top left, then select your workspace name.
  2. Select the project where you want to create the Story Invitation.
  3. Click Story Invitations, then select Create a Story Invitation.

Step Two: Define the Story Type

  1. Add a title – Choose a clear, descriptive title to help Contributors understand the story request.
  2. Select a template – Choose from available templates or customize one.
  3. Enable media imports (optional) – Allow Contributors to upload videos from their camera roll.
  4. Add branding (optional) – If branding has been uploaded, apply it to the invitation.

Step Three: Add Contributors

  1. Use the search box to add past Contributors.
  2. Invite new Contributors by entering their email addresses.
  3. Enable Community Link (optional) – Generate a link to share with a broader audience.
  4. Set contributor access levels – Choose between View and download, View only, or None.
  5. Record a personalized video or message – Provide additional guidance and encouragement.

Step Four: Set the Deadline

  1. Send invitation immediately or schedule it for later.
  2. Set a due date – Notify Contributors when the story is due.
  3. Set an expiry date – Close the invitation after the deadline.

πŸ“Œ Note: Once an invitation expires, Contributors can no longer submit stories.


Step Five: Manage Consent and Visibility

  1. Define story usage – Select Primary Usage to clarify how stories will be used.
  2. Identify the Intended Audience – Specify if stories will be shared internally or externally.
  3. State the Purpose of Collection – Inform Contributors why their stories are being gathered.
  4. Add Story Tags – Organize submissions with relevant tags.
  5. Enable or disable contributor story sharing – Choose whether Contributors can see each other’s stories.

Step Six: Preview and Send the Story Invitation

  1. Preview the invitation – Ensure clarity before sending.
  2. Click Invite Contributions to send the invitation.

Step Seven: Copy and Share the Community Link

  1. Click View Invite Overview after sending the invitation.
  2. Copy the Community Link to share it with others.
